Choosing the right CMMS: start with your needs, not the feature list

There are dozens of maintenance management systems on the market, and most of them can do roughly the same things. So why do so many CMMS projects end up as expensive databases that nobody updates?

In our experience, the problem is rarely the software. It's that the organisation picked a system before agreeing on what it needed the system to do.

1. Define the problem first

Before looking at a single demo, write down what's hurting today. Typical answers sound like this:

  • "We only find out about breakdowns when production stops."
  • "We can't tell what an asset has cost us over its life."
  • "Technicians spend too long looking for parts and manuals."
  • "Auditors keep finding assets we can't account for."

Each of these points to a different priority: preventive maintenance, cost tracking, inventory, or asset verification. Your priorities should drive the selection.

2. Map your current processes

How does a work request get raised today? Who approves it? How do parts get issued? Mapping these processes, even roughly, shows where the delays and gaps are. It also tells you how much the new system needs to change your processes and how much it should fit around them.

3. Get your asset register in order

A CMMS is only as good as the data in it. If your asset register is incomplete, duplicated or out of date, fix that before go-live. Asset identification, verification and tagging are often the most valuable work in the whole project.

Choosing between software packages isn't the important part. Working out what fits your organisation is.

4. Plan for the people

Technicians on the floor decide whether a CMMS succeeds. If it's slow, confusing or adds paperwork, they won't use it. Look for mobile access, barcoding and a simple interface, and involve your team early.

5. Implement in phases

Start with the essentials: assets, work orders and preventive maintenance schedules. Add inventory, purchasing and advanced reporting once the basics are working and trusted.
